Privacy Policy
Effective 14 October 2026
This policy describes how information is handled when you visit cencalsports.org or contact Cen Cal Sports, a nonprofit organization, through the website. It also explains how to contact us about your information or a privacy concern.
Information you provide
The current contact form asks for your name, email address and message. You may also provide a phone number and interests such as programs, volunteering, partnering or sponsoring. We receive the information you choose to include in follow-up correspondence.
The form is intended for parents, guardians and other adults. Please send only what is needed for your enquiry. Do not send payment-card details, passwords, identity documents, children’s medical information or other sensitive information through the form.
Website and security information
Cloudflare delivers and protects this website. It processes connection and browser information, which may include an IP address, browser or user-agent information, request details and security signals. Cloudflare Turnstile uses browser and connection signals to distinguish people from automated traffic and protect the contact form. Cloudflare also uses those signals to improve its bot-detection capabilities, as described in its Turnstile Privacy Addendum.
The contact system stores submission records, timestamps, the page origin, a receipt identifier and security values used to prevent abuse and duplicate submissions. Some security values are derived from an IP address or email address using a keyed digest; they are not represented as anonymous information.
The site application does not currently include advertising pixels or analytics tracking scripts. See the Cookie Policy for necessary security technologies and external services.
How information is used
Website information is used to respond to enquiries, communicate about the matter you raised, coordinate requested program, volunteering, partnership or sponsorship discussions, operate the website, maintain relevant records and protect the site against misuse.
Information may also be used where reasonably necessary to investigate security issues, comply with applicable legal obligations or protect the rights and safety of Cen Cal Sports and others.
Who receives information
Contact submissions are stored with our website service provider and emailed to marketing@cencalsports.org. Staff and authorized people helping Cen Cal Sports manage the website or respond to enquiries may access the information needed for those purposes.
We use Cloudflare for website hosting, security, contact storage and sending website enquiry emails. Email providers also process correspondence in delivering and storing messages. These providers process information as part of providing their services.
Information may be disclosed where legally required or otherwise permitted by applicable law, including to address fraud or security concerns. If you ask us to coordinate with another organization, we may share information needed to handle that request.
Donations and other external services
Our donation link opens PayPal’s hosted payment service. This website does not collect card numbers or process the payment itself. PayPal handles payment information under its own policies, and Cen Cal Sports may receive donor or transaction details needed to manage the donation.
Social-network, merchandise and partner links also lead to independently operated services. Those services may collect information and use cookies when you visit them. Their policies apply to what they collect on their services.
Children, photographs and program records
Cen Cal Sports provides information about youth programs, and the website includes community and event photographs. Parents and guardians should make website enquiries on behalf of children. The current contact form is not a participant-registration form, and the previously displayed registration forms are not accepting new registrations.
If you believe a child submitted personal information directly, or you are a parent or guardian with a concern about a child’s information or photograph on the website, contact marketing@cencalsports.org. Identify the relevant page or record and provide a way for us to respond without sending unnecessary sensitive information.
This policy does not itself grant permission to publish a photograph or replace any separate guardian permission or program-specific notice.
Retention and security
Ordinary website contact-form records and their corresponding email copies follow a retention period of 24 calendar months from submission. Website records are removed through routine automated cleanup, and the Cen Cal Sports mailbox team removes email copies through routine mailbox cleanup. A specific legal obligation, dispute or necessary security investigation may require longer retention. Donation, accounting and other records needed for separate legal or operational purposes follow their own retention requirements.
Restricted legacy incident records and backup copies are kept separately where needed for record preservation, recovery or security investigation. Limited provider disaster-recovery copies may remain during the provider’s recovery window. Removing an online feature does not automatically erase its historical records, and deletion from an active record may not immediately remove a restricted recovery copy.
We use access controls and security measures appropriate to the website’s operation, but no website or email system can guarantee absolute security. Please avoid sending sensitive information that is not required for your enquiry.
Your questions and requests
You can ask us about information you provided, request a correction or ask for deletion by emailing marketing@cencalsports.org. We will review requests in accordance with applicable law and the records we are required or permitted to retain. We may need proportionate information to verify a request and protect other people’s information.
Privacy rights can differ depending on where you live and the activity involved. This policy does not limit rights available to you under applicable law.
Do Not Track and policy changes
The current website application does not change its behavior in response to a browser’s Do Not Track setting. It does not currently load advertising or cross-site analytics scripts. Necessary security processing continues, and external services you choose to visit have their own tracking practices.
We may update this policy when the website or our practices change. The published effective date will identify the current version. Material changes will be indicated on this page, with additional notice where required by applicable law.
